Your information,
handled properly.

We ask for detail about your home because that's the only way to quote it properly. Here's exactly what we collect, where it goes, and what we will never do with it.

Who we are

AI Smart Tech (ABN 26 927 246 940) is a sole trader based in Melbourne's west, Victoria, Australia. On-site work is across Melbourne metro; remote setup and bench-build-and-post is Australia-wide. We design, build and maintain smart homes on the Home Assistant platform. We're bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and this policy explains how we apply them.

Questions, corrections or complaints: [email protected] or 0449 620 967.

What we collect

When you request a quote. Our intake form asks for your name and email (required), your phone number (optional), and details about your home so we can scope the work: postcode, home type, storeys, whether you own or rent, your internet connection, the smart devices and brands you already run, your solar/battery/EV/hot-water/climate equipment, your electricity plan type, your goals, and optionally your budget range and timeframe.

When you book a call or email us. Your name, contact details and whatever you choose to tell us.

When we work on your system. Delivering the service means we necessarily see technical information about your home: device inventories, network configuration, automation logic, energy data, and system logs. Where cameras or sensors are part of the system, that data stays in your home, we don't copy it out. How we handle access to your system is set out in "Your home, your data, your keys" and is authorised in writing in your service agreement.

When you visit this website. Our hosting provider records standard technical logs (IP address, browser type, pages requested, timestamps) for security and reliability. We also use Google Ads conversion tracking. When you visit after seeing one of our Google ads, Google sets cookies that let it tell us how many visitors went on to send a quote request, tap our phone number or open our booking calendar. We see totals only, not who you are, and we don't use these cookies to build a profile of you. You can block or clear them in your browser settings, or manage Google's ad personalisation at adssettings.google.com.

Why we collect it

Only to run the business you've asked us to engage with: to prepare and send your quote, to answer your questions, to deliver and support the work, to invoice you, and to keep records we're legally required to keep. We use aggregated, de-identified information about job scope and hours to improve our own pricing accuracy.

We do not use your information for automated decision-making that affects you, and we do not profile you for advertising.

What we will never do

  • We never sell your personal information. Not to anyone, for any price.
  • We never share it with third parties for their own marketing.
  • We never add you to a mailing list because you asked for a quote. If we ever run one, you'll have to opt in.
  • We never publish anything identifiable about your home, photos, dashboards or case studies, without your written permission.

Who processes it, and where

We're a small business and we use established service providers rather than building our own infrastructure. Your quote-form submission is handled by the following, each of which only receives what it needs:

Overseas disclosure. Some of these providers store or process data outside Australia, including in the United States and the European Union. By submitting the form you consent to that disclosure. We choose providers with recognised security practices, but we can't control overseas legal regimes, and Australian Privacy Principle 8 protections may not apply in the same way abroad. If you'd rather not have your details pass through these services, email or phone us directly instead of using the form.

If we later engage a subcontractor, for example a licensed electrician or ACMA-registered cabler for the wired portion of your job, we share only what they need to do the work, such as your address and the relevant scope.

How we protect it

Traffic to this site is encrypted in transit. Access to our systems uses unique strong credentials with multi-factor authentication, and access to client systems follows the controls described in "Your home, your data, your keys": least privilege, a service login you can revoke, no ports opened to the internet, written authorisation, a verified backup before every change, and permanent removal of our access when you leave. No system is perfectly secure, but if a data breach ever occurred that was likely to cause you serious harm, we would notify you and the Office of the Australian Information Commissioner as the Notifiable Data Breaches scheme requires.

How long we keep it

Enquiries that don't become jobs: kept while there's a realistic prospect of the work proceeding, then deleted. Client records: kept for the life of the engagement and then for as long as tax and consumer-law obligations require, generally seven years for financial records. System documentation for a client we've offboarded is destroyed once handover is complete, except where we're required to retain it.

Your rights

You can ask us at any time to tell you what personal information we hold about you, to correct anything inaccurate, or to delete it where we're not legally required to keep it. Email [email protected] and we'll respond within 30 days at the outside, usually much sooner. There's no charge for asking.

If you're unhappy with how we've handled your information, tell us first and we'll try to fix it. If you're still not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes to this policy

We'll update this page whenever our practices or providers change, and we'll move the "last updated" date at the top. If a change materially affects how we handle information we already hold about you, we'll contact you about it directly.
